MFA for Google G-Suite — and why you should have installed it yesterday

The majority of the apps require a username and password to log in, but oftentimes these two alone do not provide sufficient security from potential hacks. As a business owner, a breach of privacy is something you just can’t afford. There is a way to make sure your account stays safe and that is through Multiple Factor Authentication (MFA).

Multiple Factor Authentication (MFA) requires an extra layer of protection and needs more than just a username and password. Multiple Factor Authentication (MFA) relies on two or more forms of evidence: 

  1. A code sent to your registered mobile phone or 
  2. A verification link sent to your registered email address

Unlike usernames and passwords, it provides a higher level of security and is less susceptible to hacking. 

Multiple Factor Authentication (MFA) ensures that the user is only allowed to log in or make a transaction after their successful authentication to a security mechanism using two or more factors. It is used across enterprises to keep user credentials safe and to avoid cyber criminals infiltrating the system. 

Follow these steps and enable Multi-Factor Authentication for Google G-Suite right away:

  1. Authenticate yourself.
  2. Ensure Two-Step Verification or 2SV is enabled.
  3. Once enabled, you get to choose when to start putting the rule into effect. This will prevent anyone who is currently registered from logging in if they have not yet enabled Two-Step Verification. This is why Google allows users to enable the feature within a specific time frame.
  4. Choose the allowed 2-step verification method for your users.
  5. Set the frequency with which your account will require authentication. By default, this period is 30 days, after which the user will be forced to re-authenticate a single device when they log in. 
  6. Save your settings. 

To ensure your employees understand the 2-step verification process, create an email now to inform them that you'll be adding 2-step verification and giving them a walkthrough of the actions they need to take to activate it.
